Mandatory training for schools

All staff must complete a range of mandatory training to comply with departmental and legislative requirements. Mandatory training is required when staff enter the department as part of the induction process and on an ongoing basis throughout employment. This applies to all permanent, temporary and casual staff, both school-based and non-school-based.

Mandatory training modules are progressively being refreshed to improve the user experience, simplify and streamline modules, consolidate courses where appropriate and reduce the overall time impact of mandatory training in schools.

All staff are required to complete relevant mandatory training to comply with legislative, department and school requirements, ensuring the safety and optimal functioning of the school. Professional Learning Policy for Teachers and School Staff 1.6.

Employees:

  • ‘Must maintain the required credentials to fulfil [their] role, including Working with Children Check Clearances, accreditation and mandatory training as required by law and/or department policy’. Code of Conduct 9.7
  • Must ‘complete training the department identifies as mandatory, specific to their role, within the required timeframe and through the provided structures’. Professional Learning Policy for Teachers and School Staff 4.1

Principals:

  • Effectively use professional learning and other appropriate funds, and provide time for all staff to undertake professional learning and required mandatory training. Professional Learning Policy for Teachers and School Staff 4.2
  • As workplace managers, ‘have effective systems to keep employees informed of legislation, policies and procedures that apply to their work including induction processes, mandatory training and ongoing learning.’ Code of Conduct 9.7
  • Must ensure that a significant proportion of staff attend CPR and RAMOAP training, subject to essential student supervision arrangements
  • Consider the mandatory training requirements for specific roles e.g. Administration of Medication in Schools for staff who are required to administer medication to students.

The Scout-HR-Staff compliance report plays a critical role in monitoring and planning mandatory training for current staff in a specific school.

  • The report is available to Principals, DPs, Business Managers and SAMs, as this task is often delegated to key staff. The principal needs line of sight to any delegated processes and tasks.
  • Only DoE employees currently engaged by a school are included. Current staff remain on the report until the end of their employment. This may be the end date of a temporary contract or the end date of a casual nomination.
  • Currency of staff training is evident in the report with a countdown to expiry.
  • All mandatory training for teaching and school-based staff is included in the report (as of Term 3 2021)
  • The report is being upgraded to include items from the mandatory training for schools and specific roles (Due date: early Term 1 2022).
  • It is imperative that school leaders monitor the report, consider the complexities of their school context and take appropriate action. For example:
    • Planning for staff leave where those staff have additional training that may not be held by others
    • Ensuring that induction processes cover mandatory training required on commencement
    • Following up on staff who have not maintained required credentials.

No. Evidence of completion of all mandatory training for current teaching and school-based staff is included in the report.

The school auditor generates a SAP report for current staff and this will usually be cross-referenced against the Staff compliance report.

The report is reliant on regular data feeds from various sources. This means the report is updated overnight, and at times within 2 business days. Data fed from external providers, for example, from third party face-to-face trainers, will take longer.

Best practice is to check the report twice each term. From time to time, you might need to act on a backlog of staff completing mandatory training.

No. Staff show on this report only when they are currently engaged by the school. Staff data is drawn from SAP to ensure currency, and this includes those staff employed through temporary contracts or casual nominations.

The Induction hub supports principals and school executive with checklists when employing new staff. However, ClassCover provides a green tick for all casual teachers successfully screened for employment, and this includes mandatory training compliance. By ensuring that you only nominate casuals with a green tick in ClassCover, you will not need to check their certificates.

Yes. ClassCover is the preferred casual employment recruitment tool within NSW public schools.

Integration of ClassCover and DoE systems means teacher status verification is shown to schools at the point of booking. This eliminates the need for manual checks via multiple DoE systems (teacher approval and mandatory training status).

A green tick in ClassCover indicates that a casual teacher:

  • has Approval to Teach
  • holds a current WWCC
  • has completed all mandatory training
  • can confidently be nominated as a casual in your school.

In addition to mandatory training and employment screening checks completed by ClassCover, remember to complete local WHS induction and final screening checks prior to employing a casual teacher at your school. This is described in WWCC compliance checklist for employees, contractors, volunteers and visitors, ‘Casual Teacher sourced via Class Cover’, p6.

To ensure you are monitoring compliance for all your staff, including nominated casuals, regularly check Scout-HR-Staff compliance report for compliance factors. Always check NTBE for casuals returning from a break.

Managing current staff compliance with mandatory training requires school leadership team members to monitor the Staff compliance report and take action.

MyPL sends reminder emails to staff members 14 days before expiry, 7 days before expiry and on the day of expiry for mandatory training courses.

Ensuring that one-off mandatory training is complete is part of the school induction procedures. No reminder emails are sent.
