Report templates
To support schools, optional report templates are available for Kindergarten, Years 1–6 and Years 7–10.
Principal decision-making and timing
Principals have flexibility in choosing a report format that suits their students, families and school context. Decisions about reporting should be made in consultation with parents and carers.
- Principals decide when to issue the twice-yearly reports, for example end of Terms 2 and 4, based on when they are most useful to families.
- Avoid changes to report formats between Semester 1 and Semester 2.
- Reporting to parents – optional report templates toolkit (staff only) supports communication about reporting changes.
Blank templates
Use of these templates is not mandatory but supports consistency and clarity in reporting. They are designed to:
- align with updated reporting requirements
- include a plain English achievement scale
- make reports easier for parents and carers to understand.
Schools may adapt these templates to suit their context, in line with the Curriculum policy standards requirements.

Reporting process
All NSW public schools are required to report to parents in line with the Curriculum planning and programming, assessing and reporting to parents K–12 policy.
This reporting process provides a consistent way for schools to review and implement procedures related to reporting, ensuring they are aligned with the requirements of the Curriculum policy standards.
- Form a committee with representatives from school leadership, teachers, parents and carers.
- Create a meeting schedule.
- Set a completion date.
- Ensure all committee members are familiar with, and consider the legislative and policy requirements that underpin reporting to parents requirements.
- Refer to the NSW Department of Education’s policies, in particular:
- Review the advice and guidelines from the Reporting advice webpage.
- Set a completion date.
- Ensure school reporting process and procedures align with the requirements from Section 3 of the Curriculum policy standards.
- Identify any areas requiring updates or further development.
4a – retain current process and procedures with minor updates required
- The committee makes recommendations for any minor updates required (Note: Minor updates may be informed by changes to requirement, feedback from parents or other evaluation processes, including feedback from Curriculum and policy monitoring meetings or External validation).
- Set a completion date.
- Proceed to Step 7.

- The committee drafts new reporting process and procedures.
- Updates may be informed by changes to policy requirements, feedback from parents or other evaluation processes, including feedback from Curriculum and policy monitoring meetings or External validation.

- The committee informs the school community about the consultation process this could be through newsletters, meetings or surveys.
- Teachers, parents and carers are consulted, and the data is interpreted to determine key findings and implications.
- Set a deadline for feedback submission.

- School leadership and the committee meet with staff, P&C, local AECG and parents and carers to discuss the survey results.

- The committee and school leadership decide on a final reporting process and report format based on feedback from the consultation process.

- The committee and school leadership communicate the updated process and reporting format to the school community, including the school executive, teachers, parents and carers, for familiarisation before implementation.

Reflective questions
School leaders are encouraged to review their reporting processes regularly, in consultation with their communities. A structured approach involving stakeholder input and data collection is recommended. This is followed by implementation and ongoing evaluation over reporting cycles. To review current reporting process, consider:
- How are reporting processes managed across stages and key learning areas?
- How does the school engage teachers, parents and carers in understanding reporting information?
- What processes are in place to ensure that reporting is inclusive for all learners and their families?
