Issue 133 - Term 2 Week 6

Tip - Buying new technology? Read this first!

Are you planning to purchase new technology? Whether it’s hardware (laptops, MLDs, charging stations, 3D printers) or software (learning tools, teacher resources, or bell systems), please follow these steps to ensure your new tech is fully supported and ready for use.

Hardware purchases

Start by checking EdBuy. Every item listed on EdBuy has been tested and is cyber compliant.

If you can't find what you need on EdBuy there are two options available for you:

Software & Digital Tools

The approval process depends on the type of software:

  • Paid Learning Tools: Check the Online Learning Tools Marketplace.
  • Administrative or Operational Tools: Check AssessedIT.
  • If it’s not listed: It cannot be purchased immediately. If the tool is critical to your school’s operations, please log a ticket with EDConnect Online.

Note: Evaluation takes time. The team may suggest an alternative, already-assessed option. We strongly encourage you to consider these for a faster setup.

If in doubt: wait!

Do not make a purchase until you have 100% certainty. For personalised advice, discuss your needs with your Digital Field Services team member during their next scheduled visit or contact T4Linnovations@det.nsw.edu.au.

Update - Windows 11 25H2 and F12 imaging

Towards the end of Term 2, the End User Compute and Collaboration team will be deploying the Windows 11 25H2 Feature Update to all compatible devices. This will present as a regular Windows update and requires a restart for it to complete. Time taken to complete the update is dependent on the specifications of the device. No data or files will be lost in this process.

The update will be applied progressively to schools. Please advise your staff to be aware of the pending update. They can choose to defer the update until the end of the day.

In the coming weeks the legacy Configuration Manager UDM Windows build will be removed from the list of options available to reimage a device via the F12 method. This will mean that schools can only choose the Windows Intune in Schools build option.

For schools needing to continue using a domain joined device, please submit a ticket via EDConnect Online. Please include F12 - On premise device build request in the description along with the device’s MAC address and a brief explanation of why it must remain connected to the domain.

Aruba User Experience Insight (UXI) sensor

Have you seen a small, skinny white box appear in one of your classrooms but are unsure of what it is? The Aruba UXI sensors are in schools to provide a measure of classroom Wi-Fi experience.

The information is fed back to a dashboard which provides immediate feedback and trends on performance across the state for a range of services. This allows the network support staff to quickly identify emerging issues. The sensors are currently installed in over half of our schools with further deployment through the Metro Network Uplift program.

eT4L server shutdown procedure

Occasionally, schools may need to power down their server for reasons such as building power maintenance. It is always recommended to contact EDConnect Online and request the server be shut down remotely as it reduces the risk of data corruption or hardware failures. Once the maintenance is complete, you may be asked to power on the server. If in doubt, contact EDConnect for further advice.

Info - Preventing data breaches

From May 2026, new data security measures will be introduced across Microsoft 365 apps to help protect the department’s sensitive information and reduce the risk of accidental sharing.

These changes may require a small change to your current workflows.

Email sharing
Lady sitting in front of a laptop smiling. Lady sitting in front of a laptop smiling.

Before sending an email that contains sensitive information or uses an ‘OFFICIAL Sensitive’ classification, you will be presented with a banner or pop-up notification. The notification will prompt you to pause, review the content and consider the recipients before you send the email.

Using non-approved cloud storage platforms

When uploading sensitive files to cloud platforms that are not department-approved, you will be presented with a pop-up notification advising that the upload has been blocked. You will need to provide a short business justification if you believe the upload is necessary.

Note: Microsoft OneDrive, Microsoft Teams (SharePoint) and Google Workspace are department-approved cloud platforms.

Sharing from Microsoft OneDrive or SharePoint

When sharing sensitive files or folders from Microsoft OneDrive or Teams (SharePoint), the ‘Anyone with the link’ option will no longer appear. Instead, you will need to identify the people you want to share to.

These updates are designed to support safer information-handling across the department and protect both staff and students from data loss.

Visit the Data Loss Prevention website for more details.

Info - Adobe Creative Cloud licences

Since April 2024 there has been a revised process for schools and corporate staff to access Adobe Creative Cloud products. The need for an Adobe Creative Cloud licence can change over time, and to ensure all students and staff can obtain a licence when they need one, the limited pool of licences needs to be effectively managed.

A key part in managing our licence pool is through regular analysis of licence usage. Licences which have had a prolonged period of inactivity will be retrieved and put back into the licence pool.

Some key items to note:

All staff and students have access to Adobe Express for free via the staff or student portal.

For students or classes which require a licence, there is no need to request the licence for later in the year. Simply log a ticket with the student names and they will be provisioned ASAP.

For further information, please visit the Technology for Learning Adobe for Education page or log a ticket with EDConnect Online to request a licence.
