Issue 135 | Term 3 | Week 3

Tip - Long password? Try safer sign-in

All staff are currently required to use a password that is at least eight characters long and includes uppercase and lowercase letters, numbers, and optional special characters.

Staff with Windows devices managed through Intune and CDM have the option to set up Windows Hello for Business (WHfB), allowing sign-in using a PIN or facial recognition, depending on the device’s capabilities.

To enable WHfB, your ICT Coordinator, TSO, or Digital Field Services must activate it on a site profile within CDM. Once enabled, staff with non-shared devices can follow the setup process to configure their PIN or facial recognition.

WHfB is not recommended for shared devices, such as student devices.

Please refer to the provided guides to assist with WHfB setup:

Info - Portfolios: made simple with Canva

Term 3 is the perfect time to help students pull their work into something they're proud of. Canva's Design School guide, Create Stunning Student Portfolios, shows you how to turn student work into a living story, combining visuals, photos and reflections into one showcase of growth.

For primary classrooms, students can build a Learning Portfolio: uploading photos of their projects, adding reflections, and even including teacher feedback, all organised neatly under subject headers. It's a great way for students (and families) to see how far they've come.

For secondary students, a Portfolio Website is a great way to showcase skills, achievements and creative work! A handy skill when considering university and job applications down the track.

It only takes 10 minutes to get started, and there's a full library of ready-to-use student portfolio templates to explore.

Tip - Interactive videos in Google Classroom

Have you tried interactive videos in Classroom before? You can transform any YouTube video into an interactive assignment directly within Google Classroom.

By embedding questions into video lessons, you give students the space to check their understanding at their own pace. Insert your questions and select the correct answer. Attach it to the assignment, assign it to your students and wait for the results to flow through.

Once submitted, Classroom provides data insights on student performance at both the class and student level so you can target your next steps.

To see this in action, watch this video created by the Digital Support Team, starting at 3:13.

Coming soon: Google Classroom is having a makeover! Watch this space for more information.

Info - Digital Field Services
Not far to go to 100% Intune

The number of devices running the legacy Configuration Manager, or UDM version, of Windows is decreasing thanks to the fantastic efforts of our school ICT Coordinators, TSO’s and Digital Field Services staff.

Graphic with a chart and printer. Graphic with a chart and printer.

To date, there are around 31,000 devices remaining to be brought into the Intune environment. If you notice a device with a red background, log a ticket with EDConnect Online for your DFS staff to plan to reimage it in the near future.

Printer standards for schools

Since CDM was enabled for all schools, printer management has been simplified, allowing school based technical staff to add printers to devices easily. However, there hasn’t been printer naming standards for all schools. Local DFS Teams are actioning these standards as the opportunities arise. This is something that does not need action from school based technology staff and is progressively being implemented by DFS teams.

If your school is planning on renewing your fleet of printers, please notify DFS to make sure your printers are set up correctly and minimise downtime for your staff. If you have any questions please log a ticket via EDConnect Online or discuss with your DFS team member on their next scheduled visit.

Password Standard for Students (Years 7-12) - Live

In Issue 134 of news.T4L we informed schools of the upcoming changes to student passwords. The updated password standard for students in Years 7–12 is now live. This change will only apply when a student resets or chooses to change their password, including when a teacher performs a password reset.

Staff can view all password standards here. A student-friendly version is available to share with students.

Password expiring? Update now!!

Staff must update their password every 90 days. Starting 14 days before expiry, staff will receive an email with instructions on how to update their password. After the 14-day period, staff will be unable to log into their device or access essential services such as the Staff Portal or SAP. If you receive a password update email, please act promptly to avoid being locked out.

For more details, please refer to the Staff Noticeboard article.

Info - Boost your school's cyber hygiene

October is Cyber Action Month.

Get on board for a fun ride with the online safety program Cybermarvel with virtual classrooms, teacher PL and resources for families. The response from schools is fantastic, with over 165,000 students learning to be safe online over the past five years!

Primary schools can register their class for Term 4, 2026 to learn about:

  • navigating unsafe content and behaviours
  • managing screen time and setting secure online practices
  • protecting personal information.

High schools can register for Term 4, 2026 classrooms to learn about:

  • learn about scams, privacy and security online
  • how to identify fakes and deepfakes online
  • protecting from sextortion, deepfakes and image-based abuse.

Students can complete an optional survey about their online experiences. Schools can also engage parents and carers with eSafety Commissioner webinars. Families with young children can watch short playtime videos and access device security resources.

Info - AssessedIT Update

AssessedIT is a tool that allows school staff to view the security rating of online tools, software applications and browser extensions. Last term ITD sent an email to all Principal's regarding clearer guidance in AssessedIT. All entries will now only be marked as either Allowed or Do Not Use. Use with Caution has now been removed.

If your school is using a third party application, please do the following:

  • Check your tools: We have re-reviewed over 300 tools, and some that were previously marked "Use with Caution" are now "Do Not Use." Please double-check the apps in use throughout your school to ensure they are still allowed.
  • Why some sites aren't blocked: You might still be able to open some "Do Not Use" websites. This is because a free version of an app might be safe, but the paid version isn't. Since they share the same web address, our Cyber team can't block the restricted version without accidentally blocking the safe one.

Info - Transform how you showcase learning

Adobe Express Gallery makes it easy to collect, organise, and share creative work in one place. Showcase student projects, curate a class exhibition, share templates and teaching resources, or bring together images, videos, and inspiration. Teachers and students can also comment on gallery items to celebrate achievements, provide feedback, and spark discussion.

To get started:

  1. Open Adobe Express from your Essentials page on the Staff portal.
  2. From the Express Home page, select Capture ideas in a gallery (see image).
  3. Create your first gallery and start adding content to share with your class.

With the release of iPadOS and macOS 27, teachers will now have a guided browsing feature that securely locks students to specific tabs or websites on iPad or Mac during class, keeping students focused on learning experiences.

From enhanced Automatic Assessment Configuration through to Authenticated guest mode for Shared iPad, WWDC26 provided incredible updates to streamline and strengthen your device management. For more information on the latest updates, take a look at Compnow’s WWDC26 recap video available here.

The release of OS 27, and its new features will be available later this year as a free software update for compatible hardware. iPadOS 27 is compatible with 9th Generation iPad models (released in 2021) and newer.

Update - NSWEduChat gets a makeover!

We’re excited to introduce a new look for NSWEduChat. Shaped directly by student and staff feedback, the interface uplift brings a cleaner, more intuitive design that aligns with the department’s accessibility standards.

The platform is now easier to navigate and more visually appealing, with new customisation options. Choose your preferred colour mode or theme, including the much-requested dark mode.

Search will help you quickly find and reuse your favourite chats, making your workflow smoother and saving valuable time.

Tip - Timely time-saver - Recall emails

Have you ever sent an email to someone or a group and then realised you forgot to include important information or an attachment?

Microsoft Outlook offers a recall feature that lets you remove the email from recipients’ inboxes and provides a status report on whether the recall was successful.

Please note: this feature is only available when sending an email from one Department of Education mailbox to another.

Use this handy guide to learn how to recall emails in both the web-based version and the new desktop app of Outlook.

Update - Adobe Creative Cloud sign-in update

Since Term 2, 2024, staff and students using Adobe Creative Cloud applications have needed a licence and have been prompted to sign in every 14 days. During the school holidays, this session expiry period was updated to three months for staff and one month for students.

Users will receive sign-in prompts to maintain active access on their devices. Where possible, students are encouraged to limit the number of shared devices they use to reduce the frequency of sign-in requests.

Info - Support for Windows 10 - continuing

In October 2025, official support for Windows 10 concluded. However, ITD implemented extended support for devices still in use that cannot be upgraded to Windows 11, with this support initially scheduled to end in October this year.

ITD has decided to continue this support model for Windows 10 devices. Consequently, any device running Windows 10 will continue to operate normally, regardless of whether it is managed via Intune/CDM or SCCM/UDM.

Tip - Sections in Microsoft Word

The Sections feature in Microsoft Word is often overlooked, but it can make a huge difference when working with long documents such as teaching programs, policies, assessment schedules and faculty handbooks.

A section allows you to divide a document into separate parts, with each section having its own formatting and layout settings.

Laptop screen with Microsoft Word sections showing. Laptop screen with Microsoft Word sections showing.

Unlike simply adding page breaks, sections give you much more control over how different parts of a document behave.

What can teachers use sections for?

Teachers and school leaders can use sections to:

  • Create different page orientations within the same document (for example, portrait lesson plans and landscape assessment tables).
  • Restart page numbering for each unit or term.
  • Apply different headers and footers to different sections.
  • Organise large documents into manageable chunks.
  • Hide or collapse parts of a document using heading styles.
