Overview and who needs to sign-in

A secure digital system used across NSW public schools to manage visitor access. It replaces paper sign-in books and supports safety, compliance, and emergency response.

Yes— if you're attending for school-related purposes, you must check in using the School Visitor Check-In system. This includes:

  • Parents and carers, except when attending morning assembly or dropping off students
  • Volunteers / Parent volunteers
  • Contractors, including cleaners, maintenance workers, and specialist service providers
  • Service providers attending for school‑related activities
  • Other visitors such as guest speakers or community members


School staff are not required to use SVCI. However, to help support emergency management and provide greater visibility of who is on-site, school staff are welcome to sign in and out using SVCI.


Check-in is required:

  • During school hours
  • Outside school hours if your visit relates to school activities (e.g. P&C meetings, weekend classroom access, cleaning shifts)

Visitors are required to check in:

  • During school hours
  • Outside school hours when attending school‑related activities (e.g. P&C meetings, scheduled maintenance, contracted cleaning, major captial work, tutoring)

If a visitor does not have a mobile device, the school must provide access to iPad Kiosk or webform at reception to support check‑in.

No—check-in is not required for visitors attending non-school-related activities, including:

  • Outside School Hours Care (OSHC) programs
  • Preschools that are not run by the Department of Education
  • Playgroups
  • Sports clubs
  • Markets
  • Election‑related activities

Parents and carers attending morning assembly or drop-off

Parents and carers are not required to use SVCI when attending morning assembly or briefly entering the school site to drop off students.

Parents and carers must use SVCI when remaining on-site for another school-related purpose.

You’re also exempt if visiting:

  • A school not operated by the Department of Education (e.g. hospital schools, Youth Justice Centres, Environmental Education Centres)
  • Outside school hours for purposes unrelated to school operations
  • Parent / Carer
    A parent, carer, or close relative visiting or assisting with their own child (no special duties).

  • Volunteer / Parent volunteer
    Volunteering with children — for example: canteen, reading groups, Scripture/Ethics, mentoring.

  • School staff / DoE staff
    DoE school staff including teachers, aides, SLSOs, SASS, sports coaches/music tutors (paid by DoE), and Education Support Staff (corporate).

  • Casual teacher
    A casual or relief teacher/SASS, or an exam invigilator paid by the school.

  • Child‑related contractor
    A contractor with direct child contact — e.g. tutor, coach, allied health provider, mentor — and paid externally.

  • Maintenance contractor
    A maintenance tradesperson or non‑child‑related worker such as a plumber, electrician, vendor, or specialist cleaner (e.g. asbestos hygienist).

  • Cleaner
    A cleaner who is DoE‑managed or a school pre‑qualified contractor.

  • Other visitor
    A guest speaker, community member, or event attendee.

Checking out confirms that you have left the school grounds. If you do not check out, you may be recorded as still on site and contacted during an evacuation. You can check out using the same method you used to check in.

Yes. All visitors must complete a School Visitor Check In when entering the school, even for early pick up. This ensures the school has an accurate record of who is on site.

Yes. All visitors, including regular volunteers, must check in each time they enter the school. This ensures accurate records for safety and emergency procedures.

QR codes and check-in methods

QR codes are displayed in the front office reception area, including on windows or exterior walls for easy access—this is especially important for contractors and after‑hours visitors.

If a visitor cannot locate the QR code, they should check with school administration for assistance.

QR codes or webforms may be temporarily placed elsewhere for:

  • Assisted Student Transport Program participants
  • Large assemblies or special events
  • After-hours service providers (e.g. OSHC) receiving visitors away from the front office.

If you don’t have a smartphone or internet connection, you can check in using the school’s device. Most schools provide an iPad kiosk or a webform at the front office.

  1. Install the Service NSW app Download it from the App Store (Apple) or Google Play (Android).
  2. Open the app and select QR code check‑in under the Services section.
  3. Scan the school’s QR code poster displayed at reception or the main entry.
  4. Confirm your details
    1. Select your visitor category
    2. Enter your visit reason
    3. Add the staff member you are meeting and any other required information (if applicable)
  5. IMPORTANT! Check out when leaving. This keeps the school’s on‑site list and evacuation roll accurate, ensuring staff know who is still on the premises during an emergency. If you don’t check out, you’ll be assumed to still be on-site and contacted during an evacuation.

You should check out using the same method you used to check in:

  • Service NSW app — open the app, go to QR Code Check‑in, then select your Last check‑in to check out.
  • iPad kiosk (Concierge app) — select Check out, then search for your name in the search bar.
  • Webform — visitors cannot check out themselves. Please ask school administration to complete the check‑out for you.

Records and logbook access

A secure platform developed by the Department of Education that receives visitor records from the Service NSW and School iPad Kiosk. It’s available to schools and internal department access only.

Access to the School Visitor Check in Logbook is restricted and only available to authorised users.

  1. School principal and authorised school staff with Logbook permissions can view and manage visitor records.
  2. Certain departmental team members, such as School Infrastructure and the Information Technology Directorate, may access the Logbook for support and compliance purposes.
  3. Service NSW and external organisations do not have access to the Logbook unless access has been formally approved by the department.
  4. For any questions about School Visitor Check In, visitors should contact the school administration.
  • Visitor records, including optional details such as Date of Birth, are stored securely by the NSW Department of Education for 7 years in line with record keeping requirements.

  • Names, Date of Birth and Work Order numbers are used only for standard school site validation checks, such as WWCC verification or contractor work order confirmation.

  • All data is reviewed and securely destroyed at the end of the retention period in accordance with departmental procedures.

Your Date of Birth is used only to support standard school site validation checks. These checks help confirm that visitors have the correct clearances for their purpose on site, such as WWCC verification or contractor work order confirmation.

Date of Birth is stored securely with your check in record and kept for seven years in line with departmental record keeping requirements. It is not used for any other purpose.

Troubleshooting and support

If the QR code will not scan or your phone cannot read it, try the following:

  1. Make sure the Service NSW app is updated to the latest version.
  2. Close all apps and try again using your device’s camera.
  3. If you are using the Service NSW app, try scanning with the in‑app camera.
  4. If the QR code still does not work, ask school staff for assistance. They can check you in using the school’s iPad kiosk or complete the webform on your behalf.
  5. If issues continue, the school may record your visit manually.

  • Re‑scan the QR code to refresh the check in page.
  • Try scanning a different QR code displayed at the same school.
  • If the same issue continues, notify school staff so they can assist or complete the check in for you using the webform.

  • Close your browser and all apps, then try again
  • Ensure your browser is up to date
  • If issues persist, the school may log your visit manually.

  • Restart the Service NSW app and try again.
  • Check that the app is updated to the latest version, your device time is correct, and you have an active internet connection.

PIN management is handled entirely by Service NSW, not the NSW Department of Education.
